Accurate, accessible asset data is essential for confident decision-making, but capturing and maintaining that data across complex enterprise systems presents significant challenges. This project helped our client establish clear, consistent processes to improve how asset data enters and flows through Maximo, GIS and ECM systems. With new tools, defined workflows and one source of truth, the client is now better equipped to manage its critical infrastructure and plan for the future.
The Challenge
Our client’s asset data was fragmented, incomplete, and hard to trust. Information entered systems late, inconsistently, or not at all. In many cases:
- Project data was stored in different places, making it difficult to trace
- Surveys and asset capture processes lacked standardisation
- Ownership of data was unclear, and roles within the company frequently changed
- Verifying data across departments and systems took significant time
- Teams struggled to access the right information at the right time
The client needed a consistent, streamlined process for capturing and verifying asset data, and systems that made it easier to find, trust and use.
The Solution
We delivered a structured, multi-stream approach, focused on capturing and improving incoming asset data across business units.
Key elements included:
- Site Surveys for Assets
Surveys conducted on priority sites to tag, digitise and verify assets, ensuring completeness and accuracy from the outset. - A System for Verification and Loading
Designed and implemented a controlled system to receive, check and load asset data into enterprise systems. - Data Integration
Reviewed and validated asset data, ensuring it was accurately captured in systems. - Power BI Reporting
Developed a report connecting asset data across systems with filters, map views, and document links to make data more accessible and actionable. - Centralised Asset Data Storage
All asset data is now stored in one secure, structured location, reducing version control issues and improving accessibility. - Processes and Training
Introduced clear process maps, documentation, and training materials to support consistent delivery and onboarding.
The Impact
- 50,000 assets captured through the site survey stream
- 17,000 assets validated and loaded
- Centralised location for asset data, linked to live GIS and ECM
- Secure, role-based access to reports so that everyone is working from the latest data
- Defined survey and data intake process, increasing data quality and speed
- Improved governance, traceability, and confidence across teams
